When it comes to planning meetings and events, or group incentive travel program, HMI is always looking for ways to lower costs and maximize our client’s incentive budget. One of the unique ways we can do this is by negotiating multiyear contracts with hotels and resorts. If properties know that a multiyear deal is a potential option, they are usually more willing to lower rates and offer better concessions. These can include complementary room upgrades, reducing or altogether eliminating meeting room charges, keeping food and beverage pricing static, etc.

I had the pleasure of escaping the fickle New England weather this past January to help coordinate a conference for a client in sunny Orlando, Florida. This was the first group travel trip I had ever been a part of and I wasn’t exactly sure what to expect. I knew there’d be a lot of meetings, a lot of questions to be answered, and a lot of just making sure things ran smoothly. What I didn’t expect was a Q&A session with my favorite fitness expert, Jillian Michaels! To help motivate their employees, this client had started a health and weight loss challenge mirroring the hit show, The Biggest Loser. They had enlisted Michaels, the host of the show, to come speak to everyone.

What does it take to plan and organize an effective sales meeting? How can you educate – and motivate – your team and help set achievable goals for the upcoming year? For starters, it’s important to identify a theme. What direction is your company moving in, in terms of its products, and how best can you define this direction? A good theme will organize your message, which in turn will rally senior management and give attendees something concrete about which they can feel excited (and eventually communicate).

With the right combination of speakers, vendor and supplier participation, and entertainment, national sales meetings and corporate events can be transformed from “boring” requirements into a great opportunity to interact with colleagues and experience once in a lifetime opportunities.

Recently, HMI organized a meeting for a financial services organization that we just couldn’t wait to share on our blog. During the months of preparation, many venues were considered for this off-site event, but none compared with the extraordinary Cowboys Stadium.
