Managing an international meeting, incentive, conference, or event (MICE) takes a lot of work. A LOT! You will undoubtedly confront certain challenges in the planning process, even with a domestic program. For those planning international events, there are some additional complexities. Take it from me: at HMI we organize MICE in destinations all over the world, and each time we’re faced with a set of unique challenges that force us to bring our strategic “A” game. The Benefits of Outsourcing Meeting/Event Planning

We recently had a company approach us about planning an event for them to celebrate a very important, company-specific anniversary. Initially, this company was deciding between two options: they were either going to organize an internal committee to plan and execute the event, or they were going to outsource it. A member of the committee was our contact and professed concern about their ability to plan an event of the size and complexity that they envisioned. This concern was due to the fact that the committee members all had regular full-time jobs and not a single member had any real experience with event planning. We presented them with a price for our services that was very fair based on what they required; however, when compared to what this company had paid in the past for their event planning — i.e. $0! — the amount suddenly seemed rather high to them.

After a few down years, it would appear that the market for corporate meetings and events is once again on the upswing. According to a recent white paper published by Meeting Professionals International (MPI), while demand for corporate meetings and events is indeed rising fast, the budgets being provided for them are growing at a slower rate. In other words, corporate meeting and event planners are being asked “to do much more with just a little more.”
